Office relocation is undeniably a stressful endeavor, with the challenge of managing numerous tasks simultaneously. Despite meticulous planning, the need for last-minute coordination often feels unavoidable. However, there are crucial aspects you can address in advance to minimize chaos during the move. While you can’t pack up employee workstations well in advance, certain preparations can significantly ease the transition. Here are three key considerations to ensure a smoother office move.

Technology Considerations For Office Relocations

While you can’t pack up employee workstations well in advance, certain preparations can significantly ease the transition.

Here are three key considerations to ensure a smoother office move.

Get Your Internet Service Provider in the Loop

Internet access is critical for any business.  Many businesses who are moving to new offices are doing so because they’re growing – if you fit this description, you’ll also want to make sure that the bandwidth you have available will meet your needs for the next several years.  In many cases, this may be the first time your office considers a fiber-to-the-office installation.  It is important to note that many Internet Service Providers require 90 days or more of lead time to have a fiber connection in place.  This makes ordering your internet connection one of the most important things you can do early when planning an office move.

Walk Through the New Space with Your Technology Team

The odds are high that you’ll want your technology distributed in a different way than the previous tenants in the space.  There’s also a good chance that the previous tenants didn’t have the building cabling in place to maximize their network’s capabilities.  You’ll want to walk through your new space several months in advance with both your technology team and your structured cabling provider, explaining to them where you’d like your technology.  This will allow them to be sure that you’ll have all of the connections (and throughput) that you need for everything to be operational once it’s plugged in.

Plan Move Logistics Thoroughly

While you can’t move most of your office equipment early, you can build a detailed plan early.  This is one of the most critical parts of a successful move, because so many things will be happening simultaneously during the office move that it will be impossible to make important decisions on the fly.  Will the phones need to be up during the move?  Who will be in charge of responding to customers while the move is happening?  When will the servers be taken offline, and when will they be back online?  Who is moving the computer hardware? Some moving companies won’t transport electronics, and others will do it but don’t know how to properly secure the equipment.  If you have answers to these questions ahead of time, nobody will be surprised by them coming up for the first time on moving day.

Navigating the complexities of an office move demands proactive measures. Initiating communication with your Internet Service Provider early, collaborating with your technology team to optimize the new space, and meticulously planning logistics are indispensable steps. By addressing these aspects ahead of time, you not only mitigate potential disruptions but also set the stage for a seamless transition. With foresight and strategic planning, your office relocation can be a well-coordinated and successful endeavor.
